Administrator – Broadway house

MAIN DUTIES AND RESPONSIBILITIES

  1. On behalf of the Director of Services, liaise with a wide variety of stakeholders both internally and externally, always providing a high level of customer service.
  2. Proactive time, diary and workload management for the Director of Services, including organisation and management of extensive internal and external meetings, using time effectively and minuting formal meetings.
  3. Act as key point of contact to the Director of Services, supporting the management of a busy inbox, replying as required or directed, and/or in his absence, take ownership and make decisions to delegate work to others where it is appropriate to do so.
  4. Ensure all relevant information and documentation is available and distributed in advance of meetings and proactively with the Director of Services to produce documents, briefing papers, reports and presentations as determined from time to time, as well as where required attending and taking minutes for senior management meetings.
  5. Ensure that the Director of Services actions/issues arising from meetings are addressed in accordance with agreed target dates, cascade and liaise with stakeholders accordingly, and to ensure tasks are completed to the relevant deadlines.
  6. To obtain a level of understanding of the organisations strategic priorities and Director of Services workload, in order to flag and anticipate activities, conflicting priorities, and deadlines, as well as managing time allocation for workload delivery through diary control.
  7. Support the Senior Leadership team as above when required, for example setting up meetings, taking minutes/actions and taking ownership to follow up on actions and create and circulate agendas.
  8. Undertake ad hoc projects and research for the Director of Services, and/or the Senior Leadership team as required on issues across the range of activities to support their work on key strategic and operational issues.
  9. Answering the general Norwood phone lines on a back up basis.

 

 

General

 

  1. To maintain confidentiality at all times and to ensure respect for, proper observance of and adherence to Norwood’s confidentiality policy for all staff.

 

  1. Demonstrate a positive attitude and approach to people with learning disabilities.

 

  1. To take all reasonable care of the health and safety of him/her self and of other persons who may be affected by his/her acts or omissions. As regards to any duty or requirement imposed upon the organisation by or under any of the relevant statutory provisions, to co-operate with the organisation as far as it necessary to enable that duty or requirement to be performed or complied with.

 

  1. To work at any other Norwood location, as and when required.

 

  1. To report to the Health and Safety Manager either serious risks or your concerns over safety issues.

 

  1. To attend regular supervision sessions with line manager, regular team meetings and undertake relevant training as and when required.

 

  1. To work collaboratively with volunteers to ensure that their contribution enhances quality of service provision and support across the organisation.

 

  1. To undertake any other duties which are consistent with the post.

 

  1. To maintain standard of dress that is appropriate to role and in accordance with the organisation’s dress policy.
